Perfect Tenant Innovation, also referred to as PTI, we, our, or us, provides technology platforms that support housing operations, tenant engagement, maintenance coordination, and optional wellness-related tools. This Privacy Policy explains how information is collected, used, and protected when you use our services.
Introduction
This Privacy Policy applies to the Perfect Tenant mobile application, Admin Portal, Service Provider Network, PTI Marketplace, Swarm Boss Program, and optional PTI Vitals features. By using our services, you agree to the collection and use of information in accordance with this policy.

Scope of Services
This policy applies to the Perfect Tenant App, Admin Portal, Service Provider Network, PTI Marketplace, Swarm Boss Program, and PTI Vitals. Certain features require separate opt-in consent, which will be presented before activation.
Information We Collect
We collect the following categories of information.
Account Information
Email address, encrypted password, first and last name, phone number, user role, account creation date, and last login information.
Contact and Profile Information
Mailing address, property address, emergency contact information, and optional profile photos.
Sensitive Personal Information
Social Security Number
We collect SSN for tenant background verification purposes only. SSN data is encrypted immediately upon submission using AES-256-GCM encryption, never stored on your device, used only for background checks through verified third-party providers, accessible only by authorized personnel, deleted within 90 days after application decision, never shared with landlords in raw form, and stored separately from other user data.
Background Check Information
Criminal history, eviction history, employment verification, and identity verification results when applicable.
Financial Information
Credit Information
Credit scores and reports obtained through third-party agencies such as TransUnion, Checkr, and RentPrep. This data is used only for tenant eligibility assessment, shared with landlords only as summary screening results, retained according to applicable credit reporting laws, and subject to Fair Credit Reporting Act requirements.
Payment Information
Payment methods processed through Stripe. We do not store full payment card numbers. We retain payment metadata such as transaction IDs, amounts, dates, and billing address.
Location Information
Location data may be collected when you enable location services, use location-based features, or verify property proximity. This data is used to match users with local services, verify proximity, and support safety features. Location services can be disabled at any time in device settings.
Property and Housing Information
Property details, lease information, maintenance request history, and inspection data where applicable.
Voluntary Home Wellness Submissions
Tenants may voluntarily submit photos for optional Home Wellness Check features. These submissions are not inspections, do not affect rent, lease renewal, eligibility, or maintenance priority, require explicit opt-in consent, and are not shared with landlords unless the tenant initiates a maintenance request or provides explicit consent.
Communications
Messages sent through the app, support correspondence, feedback, reviews, and participation in social audio rooms.
Usage and Analytics Data
App usage patterns, session duration, feature usage, device information, IP address, and user agent information.
Crash and Error Reports
Crash reports, error logs, and performance metrics collected through Firebase Crashlytics.
How We Use Your Information
We use information to provide core services, manage accounts, facilitate tenant and landlord connections, process applications and background checks, coordinate maintenance, process payments, provide customer support, communicate with users, improve services, comply with legal obligations, prevent fraud, maintain audit logs, and administer rewards programs. Rewards data is kept separate from housing eligibility data.
Information Sharing
PTI does not sell personal data.
Information may be shared with landlords as screening summaries, application status updates, maintenance information, and property-related data. Landlords do not receive raw SSN data, raw credit reports, health data, or voluntary wellness images without tenant consent.
Information may be shared with service providers including maintenance vendors, Stripe for payments, background check providers, and Google Firebase for infrastructure.
Third-party services include Firebase, Stripe, LiveKit, Checkr, TransUnion SmartMove, RentPrep, Firebase Analytics, and Crashlytics. These services are used only for platform functionality, screening, payments, analytics, and error tracking.
Information may be disclosed to comply with legal requirements or during business transfers such as mergers or acquisitions. Users will be notified if ownership changes.
Data Security
We use encryption, secure transmission, tokenization, access controls, secure cloud infrastructure, employee training, audits, and incident response procedures. In the event of a data breach, affected users will be notified as required by law.
Data Retention
User data is retained according to legal and operational requirements. After retention periods expire, data is securely deleted or anonymized.
Your Rights and Choices
You may request access, correction, deletion, opt-out of communications, disable location services, export your data, and request portability. Requests should be sent to perfecttenantinnovation@gmail.com and will be addressed within 30 days. Some requests may require identity verification.
California residents have additional rights under the California Consumer Privacy Act, including the right to know, delete, opt out of sale, and non-discrimination. PTI does not sell personal data.
Children’s Privacy
Our services are not intended for users under 18. We do not knowingly collect data from children. If such data is discovered, it will be deleted promptly.
International Data Transfers
Information may be processed in the United States or other countries. Appropriate safeguards are used to protect data in accordance with applicable laws.
Cookies and Tracking Technologies
Cookies and similar technologies are used to maintain sessions, analyze usage, improve services, and personalize experiences. Tracking can be controlled through device settings.
Voluntary Features
Home Wellness Checks and PTI Vitals are voluntary, require opt-in consent, are not inspections, do not affect housing eligibility, and health-related data is never shared with landlords. PTI is not a medical provider.
AI and Automated Processing
PTI uses automated tools and AI to support security, analytics, content moderation, and informational summaries. AI outputs are informational only, non-binding, subject to human review, and not used for housing, credit, or legal decisions.
Social Features
Social audio rooms transmit audio to participants, may log activity for moderation, and allow users to leave at any time. Hosts may moderate rooms.
No Retaliation Policy
PTI prohibits use of platform data to retaliate against tenants for opting in or out of optional features, exercising privacy rights, or requesting data deletion. Violations may result in account termination.
Changes to This Privacy Policy
This policy may be updated. Material changes will be posted on the website, emailed to users, or displayed in the app. Continued use constitutes acceptance.

Landlord Agreement Addendum <h2 id="landlord-agreement">Landlord Agreement Addendum</h2>

This Landlord Agreement Addendum ("Addendum") supplements and is incorporated into the Perfect Tenant Innovation Terms of Service. By using PTI as a landlord, you agree to this Addendum in addition to the general Terms of Service.
1. Landlord-Specific Obligations
As a landlord user of PTI, you represent, warrant, and agree that:
1.1 Accurate Information
- You will provide accurate, current, and complete information about yourself, your properties, and your business.
- Property listings, rent amounts, and availability must reflect the actual state of the property.
- You will promptly update information when it changes.
1.2 Fair Housing Compliance
- You will comply with all applicable fair housing laws at the federal, state, and local levels, including the Fair Housing Act.
- You will not discriminate against applicants or tenants based on race, color, religion, sex, national origin, familial status, disability, or any other protected characteristic.
- You will not use PTI or screening results in any way that violates fair housing laws.
1.3 Independent Decisions
- You make all housing decisions independently. PTI does not influence, recommend, or control your tenant selection, lease terms, or property management decisions.
- Screening results and tenant data are provided for informational purposes only. You are solely responsible for your interpretation and use of such information.
1.4 Legal Compliance
- You will comply with all applicable laws governing rental properties, including landlord-tenant law, building codes, and licensing requirements.
- You are responsible for maintaining proper insurance, permits, and registrations for your properties.
1.5 Tenant Communications
- You will communicate with tenants in a professional and lawful manner.
- You will not harass, threaten, or retaliate against tenants for exercising their legal rights.

2. Use of PTI Services
### 2.1 Platform Role
PTI is a technology platform.
PTI:
- Does NOT own, manage, or lease properties
- Does NOT make housing or tenancy decisions
- Does NOT guarantee rental outcomes or tenant performance
- Does NOT provide legal, financial, or property management advice
2.2 Screening and Background Checks
- Screening services are provided by third-party providers. PTI does not verify or guarantee the accuracy of screening data.
- You are responsible for complying with the Fair Credit Reporting Act (FCRA) when using screening results.
- You must provide required adverse action notices when applicable.
